Who we are
Rachel Fields Coaching, located in Barbados. Contact: rachel@rachelfieldscoaching.com • #7 Townhouse Valley View, Frere Pilgrim, Christ Church, Barbados BB17003
Scope
This Policy applies to our website (including blog), summit pages and opt-in forms, email newsletters, booking links (Calendly/17hats), coaching intake/contract workflows, virtual calls (Zoom), and payment pages we link to. It explains what we collect, how we use it, who we share it with (processors only), how we protect it, and your choices.
1) The information we collect
-
Information you provide: name, email, phone (optional), country/time zone, booking details, form responses (e.g., summit or coaching intake), preferences, testimonials (only with your consent).
-
Payments: card details are handled by our payment processor (e.g., Stripe/PayPal). We receive confirmations (e.g., last 4 digits, status) but do not store full card numbers.
-
Automatically collected: IP address, device/browser, pages viewed, and similar through cookies or analytics.
-
Sensitive data: Coaching may involve personal wellbeing topics; you choose what you share. We do not ask for medical records.
2) How we use your information (legal bases)
-
Deliver services you request: bookings, coaching admin, session logistics, customer support (contract / steps before contract).
-
Summit and newsletter emails you opt into: deliver the content you requested; relevant promotions (consent, which you can withdraw).
-
Improve our site and services, prevent fraud/abuse, and keep things secure (legitimate interests, balanced with your rights).
-
Legal and financial compliance (e.g., invoices, tax records) (legal obligation).

3) Marketing & your choices
-
We only send marketing if you opt in. Every email includes a one-click unsubscribe. Unsubscribing stops marketing but we may still send essential service emails (e.g., your session link or invoice).
4) Cookies & analytics
-
We use essential cookies for site functionality and may use analytics (e.g., Google Analytics) to understand visits and improve content. You can manage cookies in your browser and, where available, via our cookie banner preferences. (Local examples disclose cookies/analytics similarly.
5) Service providers (processors) we use
We do not sell your data. We share limited data with trusted processors that help us run the business, under contracts that protect your data. Typical categories include:
-
Email & newsletters: Flodesk (list management, broadcasts).
-
Bookings & CRM/ops: Calendly and/or 17hats (scheduling, forms, contracts).
-
Video calls: Zoom (meeting links; recordings only with explicit consent).
-
Payments: Fygaro and/or PayPal (secure card processing).
-
Website/hosting & analytics: web host, analytics tools.
We’ll update this list if we add a significant new category or vendor. (This mirrors “service provider” language in local policies.
6) International transfers
We’re in Barbados and use global providers, so your data may be processed outside Barbados. Where required, we use appropriate safeguards (e.g., standard contractual clauses or equivalent) to protect personal data when transferred internationally. (Common to local policies that serve international audiences.
7) Security
We use reasonable technical and organisational measures (secure connections, access controls, least-privilege access, staff confidentiality). No method is 100% secure, but we work to prevent unauthorised access. (Aligned with local templates.
8) Data retention
We keep personal data only as long as necessary for the purposes in this Policy (e.g., your active coaching/summit relationship) and for legal/accounting requirements. When no longer needed, we delete or anonymise it.
9) Your rights
Depending on where you live (including under Barbados’ Data Protection Act and, where applicable, GDPR/UK GDPR), you may have rights to:
-
Access your data, correct inaccuracies, delete your data,
-
Restrict or object to certain processing,
-
Data portability, and
-
Withdraw consent (e.g., marketing) at any time.
Contact us at [your email] to exercise these rights. We’ll respond within the time frames required by law.
10) Recordings, testimonials & group spaces
-
Zoom: We only record sessions or use names/images/testimonials with your explicit consent. You may decline without affecting your ability to receive services.
-
Group calls/rooms: If you join a group session, be mindful that other attendees will hear what you share. We ask all participants to respect confidentiality, but we cannot control their actions.
11) Children
Our content and services are for adults. We do not knowingly collect data from children under 16.
12) Third-party links
We may link to other sites. Their privacy practices are their own; please review their policies.
13) Changes to this Policy
We’ll update this page when our practices change. See the “Last updated” date at the top.
