This page contains two policies: our Privacy Policy (how we handle your personal information) and our AI Tool Policy (how our free AI tool, Silence the Noise, works — and importantly, what it is and isn't).

Who we are

Scope
This Policy applies to our website (including blog), summit pages and opt-in forms, email newsletters, booking links (Calendly/17hats), coaching intake and contract workflows, virtual calls (Zoom), payment pages we link to, and our free AI tool, Silence the Noise. It explains what we collect, how we use it, who we share it with (processors only), how we protect it, and your choices.
1) The information we collect
Information you provide: name, email, phone (optional), country/time zone, booking details, form responses (e.g., summit or coaching intake), preferences, and testimonials (only with your consent).
Payments: card details are handled by our payment processors (e.g., Fygaro/PayPal). We receive confirmations (e.g., last four digits, payment status) but never store full card numbers.
Automatically collected: IP address, device/browser type, pages viewed, and similar information via cookies and analytics.
AI tool conversations: if you use Silence the Noise, your conversations take place on OpenAI's ChatGPT platform. We do not see, receive, or store the content of your conversations with the tool. Those conversations are processed by OpenAI under their own privacy policy (see our AI Tool Policy below for details).
Sensitive data: coaching may involve personal wellbeing topics; you choose what you share. We do not ask for medical records, and we ask that you do not share medical or identifying details with the AI tool.
2) How we use your information (legal bases)

Delivering services you request: bookings, coaching administration, session logistics, and customer support (contract / steps before a contract).

Summit and newsletter emails you opt into: delivering the content you requested and relevant promotions (consent, which you may withdraw at any time).

Improving our site and services, preventing fraud or abuse, and keeping things secure (legitimate interests, balanced against your rights).

Legal and financial compliance, such as invoices and tax records (legal obligation).
3) Marketing and your choices
We only send marketing if you opt in. Every email includes a one-click unsubscribe. Unsubscribing stops marketing emails, but we may still send essential service emails (e.g., your session link or invoice).
4) Cookies and analytics
We use essential cookies for site functionality and may use analytics (e.g., Google Analytics) to understand visits and improve content. You can manage cookies in your browser and, where available, via our cookie banner preferences.
5) Service providers (processors) we use
We do not sell your data. We share limited data with trusted processors that help us run the business, under contracts that protect your data. Typical categories include:

Email and newsletters: Flodesk (list management, broadcasts)

Bookings and CRM/operations: Calendly and/or 17hats (scheduling, forms, contracts)

Video calls: Zoom (meeting links; recordings only with explicit consent)

AI tool: OpenAI (the Silence the Noise tool operates on OpenAI's ChatGPT platform; conversations are processed by OpenAI, not by us)

We will update this list if we add a significant new category or vendor.
6) International transfers
We are based in Barbados and use global providers, so your data may be processed outside Barbados. Where required, we use appropriate safeguards (such as standard contractual clauses or equivalent) to protect personal data transferred internationally.
7) Security
We use reasonable technical and organisational measures (secure connections, access controls, least-privilege access, staff confidentiality). No method is 100% secure, but we work to prevent unauthorised access.
8) Data retention
We keep personal data only as long as necessary for the purposes in this Policy (e.g., your active coaching or summit relationship) and for legal and accounting requirements. When it is no longer needed, we delete or anonymise it.
9) Your rights
Depending on where you live (including under Barbados' Data Protection Act and, where applicable, GDPR/UK GDPR), you may have rights to:

10) Recordings, testimonials and group spaces
Zoom: we only record sessions or use names, images, or testimonials with your explicit consent. You may decline without affecting your ability to receive services.
Group calls and rooms: if you join a group session, please be mindful that other attendees will hear what you share. We ask all participants to respect confidentiality, but we cannot control their actions.
11) Children
Our content, services, and AI tool are for adults. We do not knowingly collect data from anyone under 18, and the Silence the Noise tool must not be used by anyone under 18.
12) Third-party links
We may link to other sites. Their privacy practices are their own; please review their policies.

We will update this page when our practices change. See the "Last updated" date at the top.
AI Tool Policy — Silence the Noise
Silence the Noise is a free conversational AI tool created by Rachel Fields Coaching. We believe in being completely transparent about what it is, what it isn't, and how to use it safely. Please read this policy before using the tool.
1) What the tool is
Silence the Noise is a self-reflection companion. It is designed to help you slow down in moments when thoughts about food feel loud, and to help you explore what might be underneath them. It draws on coaching-style questions and reflection prompts.
2) What the tool is NOT
This part matters, so we're stating it plainly:

It is not therapy, medical care, or treatment of any kind. It does not diagnose, treat, cure, or prevent any condition, including eating disorders.

It is not a substitute for your treatment team. If you are working with a therapist, doctor, dietitian, or other professional, the tool is a companion alongside that care — never a replacement for it.

It is not a crisis service. It is not designed for emergencies or moments of acute distress.

It is not a source of food, nutrition, exercise, or medical advice. The tool is designed not to provide meal guidance, food rules, numbers, or targets of any kind — and you should not rely on it for any such information.

It is not a human being. It is an AI system. AI can misunderstand, make mistakes, and produce inaccurate or inappropriate responses despite the safeguards we have built.
3) If you are struggling right now
If you are in crisis, feeling unsafe, or experiencing acute distress, please do not use this tool for support in that moment. Contact your treatment team, your doctor, your local emergency services, or a recognised support line in your country. Reaching out to a real person is always the right call.
4) Who can use it
The tool is intended for adults (18+) who identify as being in or beyond recovery from disordered eating and who want support with day-to-day food-related thoughts. It is not intended for anyone under 18, and it is not intended to support anyone through active eating-disorder treatment decisions.
5) How your conversations are handled

The tool runs on OpenAI's ChatGPT platform. Your conversations are processed by OpenAI under OpenAI's privacy policy, and you may need a ChatGPT account to use it.

Rachel Fields Coaching cannot see, access, or store your conversations with the tool. What you type is between you and the platform.

Because conversations are processed by a third party, please do not share personally identifying information, medical records, or details you would not want processed by an external platform. Speak in general terms wherever possible.
6) Built-in guardrails
The tool has been deliberately designed with safety boundaries. It is instructed to:

Never provide meal plans, calorie counts, weights, measurements, food rules, or exercise guidance

Never comment on your body, weight, or appearance

Never encourage restriction, compensation, or any disordered behaviour

Encourage you to contact your treatment team or a professional whenever a conversation moves beyond its scope

Remind you of its limits rather than pretend to expertise it does not have
These guardrails are built with care — but no AI system is perfect. If the tool ever responds in a way that feels wrong or unhelpful, please stop using it, trust your own judgement, and let us know at rachel@rachelfieldscoaching.com so we can improve it.
7) Your responsibility and assumption of risk
By using Silence the Noise, you acknowledge and agree that:

You use the tool voluntarily and at your own discretion

The tool provides general self-reflection prompts, not professional advice, and you will not treat its output as medical, psychological, nutritional, or therapeutic advice

You remain fully responsible for your own choices, actions, and wellbeing

You will seek appropriate professional support for medical or mental-health needs

AI-generated content may contain errors, and you will apply your own judgement to anything the tool says
8) Limitation of liability
To the fullest extent permitted by law, Rachel Fields Coaching, its owner, contractors, and collaborators accept no liability for any loss, harm, or damage — direct or indirect — arising from your use of, or reliance on, the Silence the Noise tool or its outputs. The tool is provided "as is," free of charge, without warranties of any kind, express or implied, including fitness for a particular purpose.
Nothing in this policy excludes liability that cannot be excluded under applicable law.
9) Intellectual property
The Silence the Noise tool, its design, prompts, and branding are the intellectual property of Rachel Fields Coaching and may not be copied, reverse-engineered, or reproduced without written permission.
10) Changes and withdrawal
We may update, modify, or withdraw the tool at any time without notice. This policy may be updated as the tool evolves — see the "Last updated" date at the top of this page.
